Stop Writing Emails by Hand: A Voice-First Email Workflow

Email is where typing time goes to disappear. You write 40, 50, sometimes 80 messages a day. Most of them are short, but short adds up. If the average work email takes 3 minutes to type and you send 40 a day, that is 2 hours of typing. Pure, joyless typing.

Dictation cuts that window roughly in half. Here is how to build a workflow that makes it practical.

Why Email Is the Best Place to Start With Voice

If you have never dictated before, email is the lowest-risk place to try it. The content is conversational by nature. You are already composing in a relatively natural voice. There is no pressure to be literary. You just need to communicate clearly and get to the point.

This makes email a much easier first project than, say, dictating a report or a technical document. The gap between how you write email and how you speak is smaller than in most other formats.

The Basic Workflow

Speak the email the way you would say it to someone in a hallway. Direct, clear, covering the key points without a lot of hedging. Do not try to construct sentences in your head before speaking. Just say what you would say.

Handling Punctuation and Formatting

You can speak punctuation directly. Say "period" or "comma" and VoiceInk inserts the character. Say "new line" for a line break. Once this becomes automatic, the output requires almost no cleanup.

Counter-intuitive but true: longer, more complex emails are often faster to dictate than short ones. Short emails require precision, you want the exact right word in the exact right place. Longer emails need flow, and flow is where voice has the biggest advantage over typing.

A 500-word detailed status update or project brief that would take 15 minutes to type carefully can come out in 4 to 5 minutes of focused dictation. The first draft will need a pass for clarity, but the structural thinking happens in real time as you speak, which is often better than trying to construct it at the keyboard.

Async Communication Beyond Email

Once you have the habit built with email, the same approach applies to Slack, Teams, Linear comments, Notion pages, and any other async text communication. These tools all accept typed input, which means they all accept dictated input.
